Commercial Cleaning Machine Maintenance and Repair Enquiry Checklist

Follow the maintenance schedule and safety instructions supplied with the exact machine. This checklist helps facility teams collect useful information and request repair or parts support without guessing the cause of a fault.
The decision in three points
- Record the model, symptoms and operating conditions.
- Inspect only the items permitted by the manual.
- Confirm compatibility and repair scope before work.
Step 01
Record the machine and symptoms
Record brand, model, product code and serial number where available. Describe when the fault appears, any displayed error, unusual noise, loss of suction, water-recovery problem or reduced cleaning result. Note recent changes in accessories or cleaning procedure.
Photograph the nameplate and affected component when it is safe to do so. Include the facility location and the period when the machine can be assessed. Do not continue operating equipment with damaged cables, exposed parts or suspected electrical faults.
Step 02
Inspect routine wear points safely
Isolate the machine as instructed by its manufacturer before inspection. Check visible wear and blockages in permitted user-serviceable items such as brushes, pads, squeegees, hoses and filters. Use the specified process for cleaning tanks and disposing of recovered material.
For battery equipment, follow the battery and charger instructions. Electrical work, motor work and internal repairs require a competent technician. A generic checklist cannot replace the model's service manual.
Step 03
Request the correct replacement part
Send the exact part number if known, together with machine identification and photographs. Similar-looking parts can have different dimensions, materials or electrical ratings. Confirm compatibility and availability before ordering.
For brush refilling, provide brush dimensions, mounting details, existing bristle material, floor type and intended application. Refilling suitability depends on the condition of the brush core and the required material.
Step 04
Agree the service scope before work
Request an assessment, proposed repair scope, parts list and quotation. Confirm any transport requirement, inspection charge, estimated turnaround and service terms. Diagnosis determines whether repair, replacement or a different solution is appropriate.
Keep a record of work performed and the next maintenance interval. Repeated faults should be investigated against operating conditions rather than addressed by repeatedly replacing the same component.
